The following information was delivered to your campus mailbox as the Spring Closing Brochure and is also available at www.housing.cmu.edu

WEDNESDAY, MAY 12, 2004 AT NOON:  All university owned and leased housing will close at noon for all residents not required to participate in commencement or who have not signed a summer housing agreement.   Residents are required to checkout of their campus assignment with 24 hours of their last final exam or no later than noon on Wednesday, May 12, 2004.   Under no circumstances can residents stay beyond this closing date without specific permission from the Office of Housing Services.  Please plan to depart before this time.

MONDAY, MAY 17, 2004 AT NOON:  University owned and leased housing CLOSES FOR ALL RESIDENTS. Summer housing begins.

FINALS STUDY HOURS:  24 hour quiet hours for finals week will begin at 8:00 PM on Friday, April 30, 2004 and continue through Wednesday morning, May 12, 2004.  During this period the emphasis is on maintaining a quiet study environment in campus housing and noise should not be audible outside any closed room, suite or apartment.

CLOSING PROCEDURES:  It is vital that all residents follow proper checkout procedures to enable a smooth transition to summer housing and summer conferences and to avoid costly charges which will be levied for failing to complete the following:

**Remove all garbage from your room to the hall trash containers.  DO NOT LEAVE TRASH SITTING IN THE HALLWAY; this creates a fire hazard. Extra staff is scheduled to empty hall containers.  We prefer residents take their trash to the dumpsters found outside each building.

**Return and reassemble all furnishings to their proper locations. Bunk beds must be assembled properly, not flipped!  Missing room furniture will be charged to the occupants of a space at replacement cost unless the furniture was properly stored with Housing Services during the year.

**Remove all personal belongings and vacuum your room/suite/apartment. Turn off, empty and prop open appliances and refrigerators.

**Remove all non-university furnishings including personally constructed lofts.  No lofts will be “grandfathered” during the 2004-2005 academic year and any left will be considered abandoned and will be removed at a cost to the resident(s).

**Checkout of Housing online at www.housing.cmu.edu before you leave campus.

BIKE REMOVAL:  Storage is not available for bikes during the summer months. Bikes should not be left in buildings or on bike racks around the campus. Bikes left within residential buildings after May 17 will be removed and stored at the owner’s expense for a period not to exceed 6 months. Students residing in Morewood Gardens for the summer may store bikes in and around the building at appropriate locations.

BUILDING ACCESS:  Please limit the time that you are parked around all buildings to only that time needed to pack your vehicle.  Campus Police will be enforcing all traffic regulations and ticketing.  In order to avoid violating any traffic regulations, we suggest that you PACK UP your ROOM, then PACK UP your VEHICLE.

CLOTHING DONATIONS:  Clear plastic bags are available from your RA for clothing donations to charity.  The filled bags should be left in the floor lounge or apartment residents may leave the bags in the living room, clearly identified as a donation.

GARBAGE:  Students are responsible for removing garbage from their living spaces.  Garbage should not be swept into hallways, but rather placed in hall containers.  Students will be charged via
common area damage assessments for “trashing” common areas during closing.

Students are responsible for removing large trash items (non-university furniture, carpets, wood, cinder blocks, etc.) to an appropriate dumpster site.  DO NOT place these items in a trash compactor.  By May 2, additional dumpsters will be placed at:

Donner:  behind the building near the compactor
Doherty:  upper parking lot
Fraternities:  2 units near 1085
Hill Area:  near Hamerschlag
Morewood Gardens:  at the rear of C Tower
Mudge:  on the service drive at C Tower
Roselawn Terrace:  at the top of the street
Veronica (formerly Marybelle):  behind the building

HUBS/MODEMS:  Residents of Cathedral Mansions, Fairfax, London Terrace, and Webster Hall who are in possession of Housing provided hubs should leave them in the apartment.  All Comcast cable modem equipment should be left in the apartment.  Missing or damaged cable equipment will be billed according to the insert to the Spring Closing Memo, Damage Charge Information, available at www.housing.cmu.edu

MAIL:   Please remember to visit the University Mail Center (located in the lower level of the University Center) to have your mail forwarded to another address for the summer months.  Mail received during the summer months is not held for the fall semester and is returned to sender if a mail forwarding order has not been processed.

MOVING CARTS:  Moving carts will be available by sign-out at the Morewood Gardens and West Wing service desks.  You will be responsible for the cart while it is assigned to you.  Because the supply is limited, please use and return them promptly in order to allow all residents access to the carts.

PACKING SUPPLIES AND UPS SERVICE:  Boxes and packing supplies will be on sale and UPS Service will be available in the package pick up area of the University Mail Center located in the lower level of the University Center. (These services are cash only - cash or check with a valid driver’s license.)

REFRIGERATOR PICK-UP:  Representatives from Microfridge will retrieve units on May 19 and 20. You are not required to return the unit but it is your responsibility to defrost, empty and prop open
the rental unit and leave it secured in your living space.  Units should be left in the same condition as received and Microfridge will bill students for any breach of their original rental agreement.

Please do not simply turn off and unplug the unit leaving it to thaw and drip onto the floor. Students will be billed by Housing Services for any damage caused to flooring materials due to water leaking from the refrigerator.

ROOM CHARGES:  Please refer to the insert to the Spring Closing Memo, Damage Charge Information, for information on billing issues, roommate disputes, the inspection process or damage billing. The insert is available at www.housing.cmu.edu

STORAGE:  The following information outlines the procedures for removal and storage of items in university storage spaces. Storage space is available in the following buildings:  Doherty, Donner, Hamerschlag, Morewood Gardens, Mudge A Tower, Resnik-West Wing, Shirley and Veronica (formerly Marybelle).  Please note the special conditions below affecting several of the storage areas. After Saturday, May 15, all storage rooms will be closed until August. You will not have access to storage during the summer.

1.      Each student is limited to storing a maximum of 5 boxes. Only items in boxes may be stored. Boxes must be 20”H x 20”W x 20”D or smaller.  When placing your items in storage, you will receive a copy of a storage agreement, which you must present to remove them from storage. In addition, no furniture or loose articles are allowed in storage.

Storage in all areas will be open from 9 pm to 11 pm on the following dates:

Saturday    May 1

Wednesday    May 5
Friday        May 7
Sunday     May 9
Tuesday    May 11
Saturday    May 15

Please note that university storage is available on a first-come, first-serve basis. Adequate space should be available for everyone, but it cannot be guaranteed. For this reason we recommend storing items as early as possible in the storage closing period.

Special Conditions:

Cathedral Mansions, Fairfax, London Terrace, Shady Oak, Shirley, Veronica and Webster Apartments:  There are storage rooms in the basements of Shirley and Veronica for residents of the Oakland Community Apartments.

Woodlawn:  Storage is available in Woodlawn basement for Woodlawn residents only.

CHECKOUT:  All residents are required to check out of housing by completing the Express Checkout prior to their departure from campus. Access to the Express Checkout is through the Spring Closing Resource Page located on the Housing Services Website at www.housing.cmu.edu and will be available beginning April 30.

WHEN RESIDENTS ARE READY TO LEAVE CAMPUS:
Ensure your room is clean, free of trash and all furniture is in its proper place. Open curtains/blinds, close and lock windows and turn off lights. Close and lock the entrance door.

NOTE: Students who remain in the residence halls after noon on their designated move out day may be fined $25 per hour for every hour they remain after noon.

KEY RETURN:
HOUSING SERVICES, MOREWOOD GARDENS E TOWER:  The Housing Services office is open Monday through Thursday, 8:30 am to 7 pm and 8:30 am to 5 pm on Fridays.  The office will be open for key return 8:30 am to 5 pm on Saturday and Sunday, the weekends of May 8 and 9 and May 15 and 16. MOREWOOD GARDENS A TOWER DESK:  This area should only be used for after-hour key return.  Residents will fill out a key envelope, which will be sealed and placed into a secured box until the following morning when a representative from Housing Services will collect them.  Receipts will be issued upon request. DO NOT RETURN KEYS TO CAMPUS POLICE.

LIVING AREAS SECURED BY A TESA ELECTRONIC LOCK
**Residents in possession of a programmed cardkey may discard the cardkey upon departure, as it will expire automatically. **Residents with housing access encoded on their student ID card should keep the ID card for use next year.  The housing access will expire automatically.

IF YOU FORGET SOMETHING:  Housing Services, residential life and our housekeeping staff will make every attempt possible to recover property left by students.  However, there is no guarantee and the University will not be liable for student property once a student has vacated a room or where it is necessary for staff to “pack-out” and store student property. If you do forget something, please contact the Office of Housing Services immediately.

FINALS HOURS!

THE UNDERGROUND is open 24 hours from 11 a.m. on May 1 through 11 p.m. on May 11.  Free coffee 9 p.m. to 9 a.m.  Half-price dessert nights from 9 to 11 pm on Wednesday, May 5, Saturday, May 8 and Sunday, May 9.


SKIBO COFFEEHOUSE is open 24 hours from 10:30 a.m. on May 2 through 2 p.m. on May 11.  Free coffee 2 a.m. to 8 a.m.  Skibo closes for the summer on May 11.

ANDY’S closes May and reopens at 8 a.m. on May 11 and remains open throughout the summer.

THE ZEBRA LOUNGE (CFA) will maintain regular hours including Saturdays beginning May 1.  Hours are 8 am to 5 pm on Monday, Thursday & Friday and 8 am to midnight on Tuesday and Wednesday.

CHECK-IN 2004:  Please make appropriate plans when making your travel arrangements to return to campus.   Returning students are not permitted to arrive on campus before August 26 and early arrivals are not approved unless associated with a University office or orientation activity.

NEW FOR FALL 2004 CHECK-IN:  Housing Services will implement an electronic check-in for fall 2004 that will require the use of your student ID card. More information will be sent in your assignment letter in July.
